 Open Item management in SAP FICO is a method used to track and manage outstanding transactions that have not yet been fully cleared or settled.


What is Open Item Management?

Open Item Management means:

👉 SAP tracks whether a transaction is open (unpaid) or cleared (settled).

This indicator is activated in the G/L account master.


Why Do We Need It?

Some accounts must always show outstanding balances until settlement.

Examples:

  • Vendor account (invoice vs payment)

  • Customer account (invoice vs receipt)

  • Bank clearing account

  • GR/IR clearing account

These accounts need clearing functionality.


Open vs Cleared Concept

SAP tracks this automatically when Open Item Management is active.


Example 1 — Vendor Invoice

Vendor invoice posted = ₹10,000

Status:
👉 Open item (payment pending)

After payment posted:

Example 2 — GR/IR Clearing (MM Integration)

Goods received but invoice not received:

Balance appears in GR/IR account → Open item.

When invoice arrives:
System clears GR and IR entries.

Balance becomes zero → Cleared.

This is real business usage.
